This Privacy Policy explains how Edmond Mobile Meals, Inc. ("Edmond Mobile Meals," "EMM," "we," "us," or "our") collects, uses, and protects information gathered through our website, www.edmondmobilemeals.org, and through the programs and services we offer as a 501(c)(3) nonprofit organization serving homebound elderly and disabled residents of Edmond, Oklahoma.

Definitions

Non-Personal Information ("NPI") is information that does not identify you personally and is collected automatically when you visit our website, such as browser type or general location.

Personal Information ("PII") is information that identifies you or could reasonably be used to identify you, such as your name, address, phone number, email address, or payment details.

Our Commitment to Your Privacy

Edmond Mobile Meals takes the privacy of our website visitors, meal service clients, volunteers, donors, and supporters seriously. This policy describes what information we collect, how we use and share it, and the choices available to you.

Information We Collect

We collect different information depending on how you interact with us:

Website Visitors. When you browse our site, we automatically collect NPI such as your IP address, browser type and language, referring page, and the pages you visit, through analytics tools such as Google Analytics. This helps us understand how our site is used and improve it.

Meal Service Applicants and Clients. If you apply for meal delivery service, we collect the information needed to determine eligibility and deliver service safely. This may include your name, address, phone number, date of birth, emergency contact information, and health- or disability-related information relevant to your eligibility and care needs (for example, mobility limitations or dietary restrictions). This information is used only for program administration and is shared only as described below.

Volunteers. If you apply to volunteer, we collect the contact and background information needed to place and manage volunteers, such as your name, contact details, availability, and, where applicable, background check results.

Donors. If you make a donation, we collect the information needed to process your gift and provide a tax receipt, such as your name, address, email, and payment information. Online and recurring gifts are processed through our third-party giving platform, Anedot; we do not store your full card or bank account number ourselves. Gifts made by Venmo, check, or through the Oklahoma City Community Foundation (for endowment and planned gifts) are subject to those platforms' own privacy practices.

Newsletter Subscribers. If you sign up for our email newsletter, we collect your email address to send you updates about our events, news, and programs.

Website Chat Assistant. Our website includes an AI-powered chat assistant. Information you share in that conversation, including any contact details you provide, may be used to follow up with you and is handled consistent with this policy.

Social Media. We maintain pages on Facebook, X (Twitter), and Instagram. Interactions on those platforms are governed by each platform's own privacy policy, not this one.

Cookies

Our website uses cookies — small files stored on your device — to recognize returning visitors, remember preferences, and understand site usage. We do not place PII in cookies. Most browsers let you disable cookies, though some site features may not work correctly if you do.

Google Analytics

We use Google Analytics to understand how visitors use our site. Google Analytics collects your IP address but not your name or other identifying information, and we do not combine Analytics data with PII we hold separately. How We Share Your Information

We do not sell or rent your Personal Information. We share it only:

With service providers who help us operate — for example, our donation processing platform (Anedot), the Oklahoma City Community Foundation (for endowment and planned gifts), our website and chat-assistant platform provider, and our website host. These providers may access only the information needed to perform their function and are expected to keep it confidential.
When legally required — in response to a subpoena, law, or other legal process, or to protect the safety of our clients, volunteers, staff, or the public.
In a business transition — if EMM were to merge with or transfer operations to another organization, client and donor information may transfer as part of that process, subject to this policy or its successor.

Third-Party Sites and Services

Our website links to services we do not control, including our online giving platform (Anedot), Venmo, the Oklahoma City Community Foundation, our Amazon Wish List, and our Bonfire merchandise store. Those services have their own privacy policies, and we encourage you to review them. We are not responsible for their privacy practices.

Email and Communications

We will use the email address you provide to send you information about our services or updates you've signed up for. You can unsubscribe from our newsletter or other promotional emails at any time using the link in those emails, or by contacting us directly. Opting out of promotional email does not opt you out of communications necessary to deliver meal service you've applied for.

Data Security

We take reasonable, industry-standard steps to protect the Personal Information we hold, including secure storage and limiting access to staff and volunteers who need it to do their jobs. No method of storage or transmission over the internet is completely secure, and we cannot guarantee absolute security.

Children's Privacy

Our meal service and most donor activity are directed at adults. Volunteers under 18 may participate only alongside a parent or guardian who is at least 18, and we collect information about minor volunteers only as needed to coordinate that participation.

Your Choices

You may decline to provide Personal Information to us, though this may limit our ability to provide certain services — for example, we cannot process a meal service application or issue a donation receipt without contact information.

You can also disable cookies in your browser and opt out of Google Analytics as described above. Our website does not currently respond to browser "Do Not Track" signals.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. Your continued use of our website after changes are posted constitutes acceptance of the updated policy.
